AV production is the layer of a corporate event that carries the content: the sound system that makes every word intelligible, the lighting that shapes the room and the stage, and the video system that puts presentations, cameras and playback on screens. It includes the design, the equipment, the operators and the show control that ties cues together. Budget-wise it typically absorbs 20% to 35% of a content-driven event, and it is the layer where failures are most public.
The three systems, in plain language
“AV” gets thrown around as one word, but you are really buying three engineered systems plus the people who run them.
Sound: intelligibility first, volume second
The job of the sound system is not to be loud; it is to make speech effortless to understand in row 40. That depends on speaker selection and placement for the room’s geometry, delay speakers for deep rooms, and a trained engineer mixing live. Microphone choice matters more than clients expect: a panel of six people sharing two handhelds looks improvised, and a lavalier on a presenter who paces past the speakers will feed back at the worst moment. A useful definition: feedback is the loop created when a microphone picks up its own amplified signal, and preventing it is engineering, not luck.
Lighting: the difference between a meeting and an event
Lighting does three jobs at once. It makes presenters visible and camera-ready, it directs the audience’s attention, and it sets the emotional register of each segment, from a bright plenary to a dramatic award reveal. Corporate lighting fails most often by omission: a beautiful stage wash and a pitch-black lectern, or room lighting so flat the event photographs like an office. If the event is filmed, lighting must be designed for the camera as much as for the eye, since sensors are far less forgiving than human vision.
Video: screens, cameras and everything that feeds them
The video system covers the display surfaces (LED walls or projection), the cameras, and the switching and playback infrastructure between them. Two terms worth defining once: pixel pitch is the distance between LED pixels, which determines how close viewers can sit before seeing the grid; and IMAG (image magnification) is the practice of showing the live camera feed of the speaker on screen so a large room can see faces. For hybrid events, this system also feeds the stream, and a signal chain designed only for the room will look flat online; the requirements for broadcasting an event well deserve their own planning pass.
What it costs, and what moves the number
Ranges vary by market and format, so treat these as orders of magnitude rather than quotes. What matters is the relative weight of each decision:

The honest framing: AV is scaled by ambition and room physics, not by headcount alone. Doubling the audience in the same room changes little; moving the same audience into a hall three times deeper changes everything.
The mistakes that actually ruin events
After enough events, the failure patterns repeat. These are the ones worth designing against:
- No technical rehearsal. Presenters’ videos in five formats, a keynote edited that morning, a mic that was never tested. The audience experiences all of it live.
- Booking AV from the floor plan alone. The system is designed before anyone reads the run of show, so the panel has no monitors and the awards segment has no spotlight.
- Trusting “the venue has AV” without specifics. In-house kits are built for averages. Ask exactly what equipment and how many operators are included for your specific show.
- No redundancy on critical paths. One laptop, one cable, one console between your CEO and silence. Professional productions duplicate playback machines and keep spare microphones on standby.
- Ignoring power. AV, catering and production all drawing from the same undersized supply is a classic failure at scale; power deserves the same planning discipline as any mass event infrastructure.
- Cutting crew instead of equipment. An operator short means cues land late all day. Equipment can be trimmed intelligently; crew below a floor cannot.
Show control: the invisible discipline
Between the three systems sits show control: the coordination that makes the walk-in music fade as the lights shift and the opening video rolls, in that order, on time. In practice this is a show caller (the person cueing every department over comms) working from a cue sheet built out of the run of show. Small events fold this role into the production manager; large ones staff it separately. It is invisible when done well, which is why it gets cut, and unmistakable when missing, which is why it should not be.
How to brief an AV provider so the quote means something
A vague brief produces a padded quote or an optimistic one, and both are expensive. Send: the run of show (draft is fine), the venue name and room, expected audience, whether you stream or record, the number of presenters and formats (panels, keynotes, live music), and any brand requirements for screens. With that, a serious provider returns a system design and an itemized number. Without it, you are comparing guesses. The same logic applies across every production line item, and it is the core of building an event budget that survives contact with reality.
One more filter worth applying: ask who the crew chief will be and how many events of your format they have run. Equipment lists look similar on paper; crews do not perform similarly in the room.
Where AV sits in the bigger production
AV does not exist in isolation. It shares rigging points and power with the stage set, shares the schedule with catering and rehearsals, and shares its output with the stream and the photographers. This is the practical argument for integrated production: when one team owns the full audiovisual coverage alongside staging and operations, the interfaces where events usually break are managed by one accountable owner instead of negotiated between vendors on show day.
